
A staff dashboard designed to accelerate the volunteer application process and minimize overlooked submissions. Featuring real-time tracking, and automated reminders, the dashboard ensures no application is missed while simplifying the review and approval process, enhancing efficiency and accuracy.
This project was a hackathon-style challenge where I was given 1.5 hours to tackle a real-world issue for a local non-profit that relies heavily on volunteers. The organization’s current setup involved a basic web form that pushed volunteer inquiries into a shared inbox, leading to mix-ups and missed opportunities. With a clear brief and a tight deadline, I rapidly brainstormed and designed a solution aimed at streamlining their volunteer management process and reducing errors.
The Problem
A shared inbox is used to manage all volunteer applications, causing missed enquiries, double-handling, and confusion as three staff members process the same emails manually.
The Solution
Create a centralised dashboard that streamlines volunteer intake, assigns ownership, and gives staff clear visibility of every application to eliminate errors and improve efficiency.
Started with a user flow to map the end-to-end process of managing volunteer applications in the new dashboard. It begins when a staff member logs in, then guides them through searching or browsing applications, viewing details, claiming unassigned applications, and finally accepting or denying them. The flow clarifies each decision point in the system and shows how the dashboard replaces the messy shared-inbox process with a structured, streamlined workflow.
